  • Pay, benefits, and pension information
  • Holiday entitlement
  • Probation period terms
  • Notice periods
  • Post-termination restrictions (if applicable)
  • Disciplinary and grievance process references

If you’re still relying on old templates or emails confirming job offers, now’s the time to update.

2. A Staff Handbook or Core HR Policies

This doesn’t need to be 50 pages long, but it should cover:

  • Sickness and absence
  • Holiday booking
  • Maternity/paternity leave
  • Disciplinary and grievance processes
  • Code of conduct
  • Bullying and harassment policy
  • Flexible or remote working expectations

Policies give your team clarity, and they help you respond consistently and fairly when issues arise.

3. GDPR and Data Protection Policy

If you store employee details (spoiler: you do), then you need to comply with UK GDPR. This includes:

  • A clear Data Protection Policy for employees
  • How data is stored, shared, and deleted
  • Who has access to it and for how long
4. Remote or Hybrid Working Guidelines

Since 2020, flexible working has become the norm for many. But without formalising expectations around hours, communication, equipment, and security, it can quickly become chaotic. 

Flexible working requests are a day one right for all employees, so it’s crucial that you have proper procedures in place to manage them fairly and consistently.

The Danger of DIY or Ignoring It Altogether

  • Found a free template online that doesn’t quite fit their business
  • Reused a contract from a previous employer
  • Have never issued formal contracts at all
  • Are still using policies last updated in 2017…
